Hey fellow Mustangers!
Busy day in trying to get sponsors for the Law Enforcement Appreciation Day event on August the 2nd. Here is what was done, offered and finalized today.
The Biltmore Square Mall is 100% involved with us to host the event at the mall. The location will be the South parking lot next to Belk's. This is where we wanted to host the Pony Run, but we at least have the location for the Appreciation Day event.
As many of you know, it is a self contained parking lot which will have access from two entrances. We will be able to handle the registration and parking with ease.
There are over 400 parking spaces. That is enough room to have food vendors, a DJ or live band and our club table with a few tables to handle the raffle ticket sales.
HomeTrust Bank thanks to one of our newest members Doug Holcombe, has donated $1500.00 to the event. Inez and Dan Kimball who own Kimball Communication and are also club members have donated $500 to the event. My employer, CarePartners has also donated $500 today. Classic Rock 96.5 will be running ads on their 3 stations for us in about 2 weeks (no cost for the ads).
The Biltmore Farms Hotel Group has donated a Bed and Breakfast Weekend at the DoubleTree Hotel and a weekend stay at the Quality Inn on Long Shoals (perfect gift if you have relatives coming in from out of state and you want to help them out with the cost of a place to stay!!). The Biltmore Estate has donated two sets of tickets and a special Biltmore book to be used for the raffle table.
A window tint package for a lucky winners car. Asheville Ford/Lincoln-Mercury will be donating free oil changes and tire rotation packages. Belks Dept. store will be donating door prices for every hour of the show. There are a few stores in the mall that will be donating gift certificates and or packages of items for the raffle tables. The Asheville Citizen Times, the Mountaineer, the Pisgah News and a few other publications will be doing a story on the event and (hopefully) printing the flyer that will be finalized this Wednesday by 12 noon. Tom Long from Sears in Waynesville and I are talking about what he will donate and I will be talking to another bank and two other locations on Tuesday for other cash or product donations.
IF anyone has any business that you know of that can donate either a minimum of $500 cash or $500 worth of product, please let me know ASAP and if that business has a logo here is email to send the logo: chubbard@isddinc.com On the subject line, make sure they indicate that it is for the Law Enforcement Appreciation Day event flyer. I currently have the Pony Run flyer being finalized and don't want to confuse the designer any more than I already have!!! Please do not send the logo to me...send it to Cathy Hubbard asap!!
If they ask to whom they can make the check out to, please have them make the check out to the Blue Ridge Mustang Club of Asheville. All the money collected up to the end of the day of the show will be deposited into our account and then a check will be made out to whatever the family would like. We will make one of those big checks and present it to one of the family members or to one of the trust funds that has been set up for the family.
If we have a band and or a DJ, we will need to have some generators to power the music and speakers. I will find out soon if that is ok for the band and how much power they need. If you have the nice quiet generators, please let me know, we will need to borrow a few. I already may have one, but we will need more.
Still need so food vendors. I will know today if I have one for sure and on Tuesday if Chick Fil A is on board. I am also working on getting a donor or a real good price to purchase cases of soda and water to sell at the event.
Speaking of selling and working the event I will need to have registration people from 8-11am. No less than 10 people are needed.
We need to collect only $10 per car/motorcycle and have them sign a release form from any liability claims. Our club does have club insurance so we will be covered in case of.....
There will be no charge for any police car that comes to the show unless they wish to donate at the time when they sign the release form.
I will need at least 6-8 people to help park the cars from 8-11.
I will need at least two, maybe three shifts of people to work our club tent and the raffle tables and the drink tables. To be fair to those who do this, we can split it into 3 shifts of 4 people per shift. So that means 12 people will be needed to run the tables.
There is discussion on doing a popular choice judging. We can break it down to 3 categories. 1) Best Mustang, Best Motorcycle, Best Classic Hot Rod/Classic Car (non Mustang). If we do the judging, we will have to do it from 11-2 and then take the time to tally the votes and have them ready to go by 3:30-4pm. If you all think this is a good idea, let me know. By doing the people's choice judging, we may be able to get some more cars (classic hot rods...they love trophies) to attend.
I need input on this ASAP so I can get it on the flyer by Wednesday!!!
